Appointments

Your Appointment

Cancellation Policy
Twenty-four hour cancellation of all appointments is required or the client will be billed the full fee for the session. This will be billed directly to you. Exceptions to this policy may be made in matters of illness or at the discretion of the Director. To cancel your appointment, call (717) 209-7040. If the office is not open when you call, the date and time of you call will automatically be recorded by the voice mail system. DO NOT CANCEL YOUR APPOINTMENT VIA E-MAIL.

Inclement Weather
If the office is closed due to inclement weather, there will be no charge for missed session time. Our office will notify you as soon as possible and reschedule our appointment. We would appreciate 24 hours notice when canceling an appointment due to inclement weather. Billing for missed appointments while the office remains open will be judged on an individual basis.

Arrival Time
Please plan to arrive in a timely fashion for your appointment. If you arrive late for your appointment, the therapist may be unable to see you for a full session due to the arrival of his/her next client. However, you will be billed for a full session. Likewise, we realize that your time is as important as ours. We will do our best to be on time for your appointment, and we will make accommodations when emergencies require our being late.

Supervision of Children in the Waiting Room
We respect your child's need to be supervised while in our waiting room. If you have a child younger than 9 years old, or a child who has behavioral problems that require adult supervision, please provide supervision for your child for the time that your child will be in the waiting room without you. You may wish to discuss this with your therapist.

Preparing for Your Child's Appointment
To maximize the benefits of your child's therapy session, consider the following:

  • If a child is on medication, he/she should not miss a dosage before coming to ICF, unless you have previously discussed it with your therapist and the child's physician has approved it.
  • Your child should not come to the appointment hungry.
  • Please allow your child plenty of bathroom time prior to the appointment.
  • If your child is sick, please call and reschedule your appointment.

ICF Payment Policy
ICF is a private pay mental health facility. We are an "out-of-network" provider. The full fee is due at the time of service. ICF will supply you with a copy of your payment receipt (called an "encounter form" by most insurance companies) for each office visit. You may submit the encounter form to your insurance company to obtain any reimbursement for which you may be eligible. ICF will supply you with an invoice upon request at any time. ICF will be happy to empower and assist you in any way we can to deal with your insurance company. However, ICF cannot participate in collecting payments or reimbursements from you insurance company. This is solely the responsibility of the client.
